Training Course Terms and Conditions

To ensure the smooth progress of the course and protect the rights of all students, we have formulated the following terms and conditions, covering registration requirements, leave for make-up classes, venue arrangements, handling of inclement weather and notes. Please read and comply with the relevant regulations to jointly create a high-quality learning environment. If you have any questions, please feel free to contact us!

Children's Track and Field Training

1. Registration and Class Notes

 

  • 1.1 Places are allocated on a first-come, first-served basis. Places are only confirmed upon successful payment.

 

  • 1.2 Priority will be given to old students.

 

  • 1.3 Existing students must complete registration and pay tuition fees at least seven days before the start of the next course, otherwise they will be deemed to have waived their admission priority.

 

  • 1.4 Payment is accepted by bank transfer, FPS, online credit card or crossed cheque (payable to "MAX Education Company Limited"). Cash is not accepted.

 

  • 1.5 The full course lasts two months.

 

  • 1.6 All courses must be enrolled in full term. Enrollment for transfer classes is limited to freshmen only and tuition fees are calculated on a pro rata basis.

 

  • 1.7 No discount is applicable to students who enroll in a new class.

 

  • 1.8 The course is open to members only. The one-time membership fee is HK$280.

 

  • 1.9 Membership fee includes one set of uniform (training shirt and shorts). Additional uniforms are HK$200 each. Please contact us to purchase.

 

  • 1.10 Participants must wear our uniform to attend classes. Failure to do so may result in rejection of the course. Participants are advised to bring a change of clothes and their own drinking water.

 

  • 1.11 Students are required to attend classes on time. No extra time will be given for late arrival or early departure.

 

  • 1.12 Except in the case of course cancellation, once registered and paid, the tuition fee will not be refunded, deferred or transferred to another person. No refund will be given for absence (including personal leave, sick leave or withdrawal).

 

  • 1.13 We reserve the right to change the instructor, course time, date and location and will notify affected students in advance.

 

  • 1.14 Students who fail to pay tuition fees or attend courses without permission will be prohibited from attending the course.

 

2. Leave and make-up class arrangements

 

  • 2.1 Full-term students may apply for personal leave or sick leave during the enrollment period. Personal leave must be notified to us at least three working days in advance. Make-up classes are limited to other regular class times and locations in the same period. Tuition fees cannot be deferred to the next period, refunded or transferred to others. If a make-up class is not made up during the period, the class will be automatically cancelled and no make-up class or refund will be provided.

 

3. Venue Arrangement

 

  • 3.1 If the venue is rented or closed, we reserve the right to change the training location to the nearest sports field or other suitable location. Failure to attend will be deemed as giving up the class and no make-up class or refund will be provided.

 

4. Bad Weather Arrangements

 

  • 4.1 If a class needs to be canceled due to inclement weather, the organization will notify participants via the WhatsApp group 1.5 hours before the class start time. If no special notification is issued, the class will proceed as scheduled.

  • 4.2 Outdoor Sports Ground Classes:
    If the Hong Kong Observatory issues a Typhoon Signal No. 8 or above, or a Yellow, Red, or Black Rainstorm Warning, 1.5 hours before the class start time, the class will be automatically canceled. No refunds or deferrals of fees will be provided. Students may attend make-up classes at other regular class times and locations within the same course period.

  • 4.3 Lai Chi Kok Indoor Classes:
    If the Hong Kong Observatory issues a Typhoon Signal No. 8 or above, or a Black Rainstorm Warning, 2 hours before the class start time, the class will be automatically canceled. No refunds or deferrals of fees to the next course period will be provided. Students may attend make-up classes at other regular class times offered by the organization within the same course period.

  • 4.4 Athletics is an outdoor sport, and participants may need to train in unstable weather conditions. It is recommended to bring spare clothing. Parents should assess whether they are comfortable with this before enrolling. We apologize for any inconvenience caused.

5. Privacy Policy

  • 5.1 We strictly comply with the provisions of the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong and respects the personal privacy of students, parents, and relevant individuals. All procedures for the collection, use, storage, transmission, and processing of personal data are conducted in a fair, lawful, transparent, and secure manner.

  • 5.2 The categories of personal data we collect include (but are not limited to): name, telephone number (including mobile), email address, correspondence address, age/date of birth, school attended/occupation, health condition (such as allergies, injuries, or physical fitness records), parent/guardian information, emergency contact persons, etc.

  • 5.3 The purposes for collecting personal data are divided into obligatory purposes and voluntary purposes:

    • Obligatory purposes: handling registration, confirming quotas, fee payment, membership registration and priority admission; contacting regarding course arrangements, changes to time/location, weather notifications, leave applications, make-up classes, absences, etc.; ensuring course safety (e.g., health data used for emergency handling or venue arrangements); administrative management, attendance records, statistics, and internal purposes.

    • Voluntary purposes: providing course-related information, event updates, membership benefits or promotional offers; receiving promotional information about this Association’s courses/activities (e.g., via email/WhatsApp notifications).

  • 5.4 If obligatory personal data is not provided, we may be unable to confirm registration, provide course services, or contact the relevant persons. If voluntary data is not provided, it will not affect the normal delivery of enrolled courses.

  • 5.5 We will not use personal data for purposes other than those specified at the time of collection or directly related purposes, nor will we disclose it to third parties without justification, except in the following cases:

    • When necessary to achieve the collection purpose or directly related purposes (e.g., transferring to coaches, venue management parties, medical institutions, or partner organizations, who are also bound by confidentiality);

    • With the explicit consent of the data subject;

    • When required by law (e.g., court orders, government department inquiries).

  • 5.6 Personal data will be properly stored in secure systems and accessible only to personnel who need it. We will securely delete or destroy the data in accordance with internal policies when it is no longer required (for example, a reasonable period after the course ends).

  • 5.7 Data subjects (or their guardians) have the right to:

    • Access the personal data we hold about them;

    • Request correction of inaccurate or incomplete data;

    • Inquire about our privacy policy and the types of data held.

    Requests for access or correction should be made in writing or by email (reference may be made to the Personal Data (Privacy) Ordinance’s OPS003 form issued by the Office of the Privacy Commissioner for Personal Data). We will respond within the time limit prescribed by the Ordinance and may charge a reasonable administrative fee.

  • 5.8 If you do not wish to receive promotional or update information about courses/activities of this Association (non-essential course notifications), you may inform us at any time (by email or WhatsApp), and we will immediately stop sending such messages. This choice will not affect the normal delivery of course services.

  • 5.9 We reserve the right to update this privacy policy at any time. Continued registration or participation in courses constitutes acceptance of the latest privacy policy.

6. Portrait Rights

  • 6.1 We may take photographs or videos during courses, training sessions, activities, competitions, or related occasions for record-keeping, internal assessment, sharing of members’ achievements, promotional purposes, or publication on our official channels.

  • 6.2 The portrait rights and related rights of students appearing in the photographs, images, or recordings belong to Max Education Company Limited  and may be used in promotional materials, the website, social media, or other relevant channels.

  • 6.3 In cases involving the portrait of your child, we will generally not provide individual prior notification.

  • 6.4 If you have any inquiries regarding the use of portraits, do not wish for the portrait to be used, or wish to delete/restrict specific photographs/images, please inform us in writing (by email or WhatsApp) as early as possible. We will make reasonable efforts to handle such requests.

  • 6.5 If you wish to use photographs or images taken by us for personal or third-party purposes, please submit a written application to us in advance and obtain consent.

  • 6.6 We reserve the right to update these portrait rights terms at any time. Continued registration or participation in courses constitutes acceptance of the latest terms.

 

7. Remarks

 

  • 7.1 Students are responsible for their own safety. The Institute is not responsible for any loss, injury or death during the course.

 

  • 7.2 We reserve the right to amend the terms and conditions at any time without prior notice.

 

  • 7.3 We do not provide insurance for trainees. Parents are required to ensure that the trainees have adequate personal insurance and pay attention to their physical condition and abilities.

 

  • 7.4 In case of any discrepancy between the Chinese and English versions, the Chinese version shall prevail.
